  QuickBooks® Integration Guide - Setup Wizard

What is the Setup Wizard?

Before the QuickBooks® Integration will allow you to send information between your computer and your online store, you will need to download and install a few programs. The Quick Setup Wizard has "bundled" all of these into one simple program for your convenience.

Where do I download the Setup Wizard?

The link to download the QuickBooks® Integration Setup Wizard can be found from the Control Panel of your Online Store. Follow the steps listed below to download the Setup Wizard and get started:

  1. Login to the Control Panel for your Online Store
  2. Click on the "Site Admin" Menu Tab
  3. Click on the "QuickBooks Integration" Menu Link
  4. Click on the "QuickBooksSetupWizard.zip" link
  5. Click "Save" to download the setup file
  6. Select your Desktop as the download location

Step 1 - Beginning the Installation

After you have downloaded the Quick Setup Wizard, locate the file on your computer. The .zip extension on a file shows that this is a compressed file, making files smaller and taking less time to download. Double left click to open this file. This will open a window which will look similar to viewing a folder on your computer, you will see one file named "QuickSetupWizard.exe". Double left click on this file to run the Setup Wizard on your computer.

The first screen that you will see is the welcome page of the QuickBooks® Integration Setup Wizard. Before you continue to the next step please make sure that QuickBooks® has already been installed on your computer. If you have not yet installed QuickBooks®, click on the "Cancel" button to exit the Setup Wizard. if you are not sure if your version of QuickBooks for Windows® is supported click here to see the full list of supported versions. Click "Next" to continue with the wizard.

Step 2 - Terms of Service

Before you are able to use the QuickBooks® Integration you will need to agree to the Terms of Service. Please read through the License Agreement for the use of this Integration. If you agree to the Terms of this agreement click on the checkbox next to "I agree". The "Next" button will not be active until "I agree" has been marked. If you do not agree with the Terms of Service you can cancel out of the Wizard at any time. Click the "Next" button to move onto the next step of the Wizard.

Step 3 - Your Store Information

The Setup Wizard will need to verify your store and your Control Panel User Information to setup the QuickBooks® Integration successfully. You will need to enter the following information:

  • Storefront URL: This is the secure URL you use to log into your control panel (Example: https://xxxxxxx.netsolstores.com).
  • Username: This is the Username for the account that you use to login in to your Storefront Control Panel. This Account MUST have Super Admin access privileges to access and use the QuickBooks® Integration
  • Password: This is the Password for the account that you use to login to your Storefront Control Panel
  • QuickBooks® Company File: Select the company within QuickBooks® that you want to have associated with your Online Store. All Orders from your store will be downloaded into this company and products will be uploaded for you to choose to import from.

Step 5 - Authorize your store & Install Web Connector

The Setup Wizard will now begin installing the QuickBooks® integration files on your computer. The Setup Wizard will need to authorize your online store. This may take a few moments, please be patient while it verifies the information you entered. After your store has been authorized you will see a new note on your screen "Installing Web Connector". The QuickBooks® Web Connector is the program that gives the QuickBooks® program that runs on your computer the ability to transfer data over the internet.

Click the "Run" button to download and begin the installation of the program instantly. Once the download completes, a window will appear asking you if you wish to run the program. Click the "Run" button to begin the Web Connector Setup Wizard.

Once the QuickBooks® Web Connector Setup Wizard launches you will be taken through a series of five screens. You will not need to enter any information for your store or QuickBooks®. Click the "Next" or "Install" button for each step to continue to the end of the Wizard. Once the program has installed on your computer click the "Finished" button. The QuickBooks® Integration Setup Wizard will be able to see the QuickBooks® Web Connector and will resume the installation.

Step 6 - QuickBooks® & Web Connector Settings

The QuickBooks® Integration Setup Wizard will automatically open QuickBooks® and the Company File that you specified. You will need to enter the password for your company file to open QuickBooks®.

  • If this is the first time that you have installed the QuickBooks® Integration a new window will appear titled "Authorize New Web Service". Click "OK" to grant the QuickBooks® Integration access to QuickBooks® and continue with the installation.

  • The next window to open will be the "QuickBooks - Application Certificate" window. When asked it you want to allow the application to read and modify the company file select one of the three "Yes" answers and click the "Continue..." button.

  • When a new window appears over the previous menu titled "Access Confirmation" click on the "Done" button to continue the Setup and Installation.

  • The QuickBooks® Web Connector program will automatically be launched. This is the program that will allow the information to be sent between your Online Store and QuickBooks®. You will see MonsterCommerce Standard E-Commerce listed on the first line in the program list. Click on the checkbox to the left to mark the box and then enter the password for the account you use to login to your Storefront Control Panel. Click the "Update Selected" button at the top of the program to run your first "synchronization" (transfer of information) between your Online Store and QuickBooks®.

Now that you have completed your first synchronization you may close QuickBooks® if you choose and return to the QuickBooks® Integration Setup Wizard to complete your installation.

Step 7 - Installation Complete: Account Settings

Congratulations, you have successfully installed the QuickBooks® Integration. There is one last thing that you will need to do. You will need to login to the Control Panel for your Online Store, go to the Store Admin Tab, then click on the QuickBooks® Integration Menu link. Next, click on the QuickBooks® Accounts Settings link and then click on the "Save" button. The Chart of Accounts from your QuickBooks® Company File was uploaded during your first synchronization of information between your store and QuickBooks® and this will make sure that all of the information is saved correctly.

To make sure that you get the most from the Integration between your Online Store and QuickBooks® go through the Account Settings from your Storefront Control Panel. This Guide reviews all of the Account Settings and how they tie into QuickBooks®.
